Front desk and clinical staff can ask for help even if all they know is what changed on the screen. A practice manager can describe where staff are stuck without having to identify the technical cause, and we take it from there.

Protect access to practice information

Geekland IT sets up MFA, reviews permissions, and provides endpoint protection for the computers on your plan. We match each role’s access to the patient records it needs, so a receptionist doesn’t also get permission to change account settings.

If an employee moves from the front desk to a different role, we review which records and accounts they should still be able to use, and offboarding is part of the same account work.

Work with your existing applications

Your practice-software vendor is responsible for the application itself, while Geekland IT looks after the computers, network, printers, and access your staff use to reach it. When we plan changes to those systems, we take the application’s requirements into account.

We often step in directly and relay information to the vendor as well, which saves your staff time and gives the vendor accurate details. Some fixes only the vendor can make, and on those we support the work while the vendor handles the application.

We set up MFA, secure and encrypt email, and handle onboarding and offboarding, which helps practices address IT security needs and relevant HIPAA requirements. Geekland IT also helps clients work toward other compliance frameworks by setting up email protection, tightening account permissions, and training your staff to spot phishing.

When a client sends a revised agreement while someone else is editing an earlier copy, staff need to know where the current matter documents belong. They also need access that lets them do their work while protecting confidential information.

We support email and manage account permissions so attorneys can communicate and open the files their work requires. We set up access so attorneys can reach the documents they need from home, while folders for a particular matter stay limited to the people handling it.

We organize shared matter documents in locations the people working on them understand and set permissions according to who needs access.

That way a revised agreement goes where others will find the current copy, and only the people working on that matter can read or edit it.

Secure email and account access

A phishing email or a stolen password can put client correspondence at risk. We look at email security, sign-in settings, and access to confidential records together, and mobile device management for the firm’s phones and tablets can be added if you need it.

For a confidential agreement going outside the firm, we provide email encryption and manage the sharing settings that decide who a file link reaches.

Help for the office and the shop

We help with computer and email trouble, business application issues, and user access. A problem in one part of the office setup can hold up work elsewhere, so we look at what the person needs to finish the task as well as the error they’re reporting.

Access to shared documents

We set permissions on shared folders of order records and production documents so the right people can open or change them, and we review that access as roles change.

Those documents also belong in backup planning, since the business would need them to carry out jobs after an outage. We discuss which records would be needed for recovery alongside the access people need day to day.

Older software and new computers

Some older business applications depend on other office systems, so we check those dependencies before any equipment change.

That way a change to one machine doesn’t stop an application the office still relies on.

Identify the systems you rely on.

We ask which applications people need to finish their work and when they need them. A system used mainly around a filing deadline can be just as important as one used every day.

We also look at what someone needs alongside the main application to finish a job. For a tax return, that means a client’s scanned receipts, email messages, and permission to open the right folder. If one is missing, a working accounting application alone won’t let that person finish.

Prioritize support and security gaps.

We discuss where staff get stuck and where access or protection needs attention. Someone being unable to open a needed document calls for a different response from someone having access to records their role doesn’t require.

For each problem, we explain what would change if it were fixed, whether that’s someone finishing their work or an account no longer exposing files that person shouldn’t see, so you can decide which needs attention first.

Agree on services and responsibilities.

Before work begins, we agree on which parts of your IT Geekland IT will handle, including help for employees and management of the computers and accounts on your plan.

We also clarify which responsibilities stay with you and which belong to your software vendors. If we’re working alongside an internal IT person through co-managed IT, we settle that division of work so everyone knows who handles what.
