A weekly report looks simple until you ask how someone prepares it. Do the figures arrive in a spreadsheet one week and an email the next? Does a missing order number mean someone has to call the customer? We count those extra steps when we look at whether automation is worth doing.

Map the current process

Show us where the task starts, such as an email or spreadsheet, and what someone does next. Are they copying figures, rewriting notes, or deciding how to explain something unusual in the report?

Check the data and tools

If one spreadsheet labels a column ‘customer number’ and another calls it ‘account ID’, someone needs to know whether they mean the same thing. We also check whether any figures are missing and whether someone has to look them up before the report can be prepared.

Where would someone use the result: in an email, a spreadsheet, or another business application? If someone has to copy it into a different program, we count that time against what the automation would save.

Identify results that need checking

A generated draft can look complete and still contain an error, so we work out where someone needs to review it and what happens to the answer when information is missing.

That review takes time too, and we weigh it against the preparation time involved before recommending a change.

Consider connections to your existing systems

If AI helps prepare a report from a spreadsheet, how would the figures get to it and where would the draft go? We check whether someone would still need to copy information between programs and what would happen if a spreadsheet column changed.

Counting the time spent moving figures, checking the draft, and fixing missing information helps you judge how much work the proposed automation would actually save.

How we work
on an AI project.

You can bring us a recurring task without knowing anything about AI tools. An AI project with Geekland IT moves through four stages: we advise on where AI fits, build the automation, connect it to your systems, and keep it running afterward.

Advise on where AI fits.

Describe what someone actually does, such as reading customer emails, copying order details into a spreadsheet, and writing a summary for the owner. Include the awkward cases, such as an email with no order number or a spreadsheet with a missing figure, because those are often the parts that still need someone’s attention.

We’ll explain which repeated steps suit AI and where it still makes sense for someone to do the work manually. Automating part of a task can be worthwhile even when the rest needs a person.

After we talk through a report someone prepares regularly, we lay out the copying and drafting a project would cover next to the checking someone would still need to do. Would the change leave that person with more time for customers, or would correcting the draft take up the time saved?
